Venue Hire Feedback

07/05/2022

Dear Kate and team,

I just wanted to reach out and say a huge THANK YOU for being wonderful hosts to us on Saturday at the amazing Hitachi Solutions event. What a fantastic evening!

You really looked after us so well and everyone was so kind and helpful. Everyone worked together as one team, which really made the whole experience wonderful!

Is there a possibility to pass on your DJ’s details? Is he your resident DJ? We thought he was brilliant and got the vibe so right with the audience and played some excellent tunes all night long!

We would love to work with him again and perhaps recommend him to our many clients.

We hope to have the opportunity at our next event to work with you all again and at your fabulous venue !!

Venue Hire London

Top 4 Tips for Choosing the Perfect London Venue

Choosing the perfect venue in London can be tricky as there are so many impressive venues to choose from.  It often involves more than just picking a location. It’s about finding event venues that align with your event needs, budget, ambience, and more.

1. Set A Budget & Communicate this with the Venue

First things first, set a budget by estimating the event size. The easiest way to think about this is what is the cost per person.  Approximate hire fees of between £50 and £150 per person depending on the number of drinks, food and extras, then multiply this by the maximum number of guests.

Having a clear budget helps narrow down your options and keeps you focused.  Tell the venue what your budget is so they can let you know straight away if it's going to work out.

2. Determine Your Event Needs

It’s essential to have a clear idea of your event needs before you dive into the search for venues.

Start by setting a budget, then consider:

  • Type of function rooms - do you need breakout areas - large open spaces - well lit vs. underground?

  • Space: pop ups or indoor or outdoor space, depending on the season

  • Ambience: relaxed, themed or formal - perhaps a formal setting for a corporate event vs a relaxed ambience for a private party or product launch?

  • Services like IT and audio-visual equipment for presentations?

  • What amenities and decorations will you need - do you want a blank canvas or a ready-dressed venue?

  • Do you require catering services? How often do you want food and drinks served?

Make sure you have clarity on these points so you can quickly narrow down a venue that aligns with your event needs and expectations.

3. Understanding Venue Pricing and Packages

While the process of finding the perfect venue in London can be laborious, understanding the pricing, hire fees, and all-in packages is the most important.

The cost of hiring a venue in London can vary greatly depending on several factors, such as location, event date, pricing, event type, and more.

Hidden Costs to Consider

And worst of all, the initial quote for the venue hire may not include all costs! These could include additional days for setting up or dismantling the event, equipment rental, early access fees, and other potential extra charges.

So it’s important to double check for these possible hidden costs with the venue manager or events manager before signing the contract.  Make sure you get a final quote and a venue hire contract in writing as soon as possible.

This will help you avoid any unexpected expenses and ensure that the venue fits within your budget. Remember, a successful event is not just about a great venue but also about not blowing the budget!

4.  Negotiate with Venue Managers!

When it comes to venue hire, negotiation is key. Being able to negotiate effectively with venue managers can help you secure the best deal for your event. It’s important to have:

  1. a clear list of priorities,

  2. be aware of the competition, and

  3. have a realistic head count.

These factors can greatly influence the negotiation process.

Don’t hesitate to ask for discounts or freebies. You might be surprised at what you can get! Also, researching the competition can give you a better idea of what other venues are offering and their prices.

This knowledge can be a powerful tool during negotiations.
